This guide outlines the different access levels assigned to users, detailing their capabilities and restrictions. Whether you're an admin managing auctions, a dealer placing bids, or a viewer with limited access, this guide will help you understand the responsibilities and functionalities associated with each role.
When to use it
When a new user has joined the dealership platform or when a user’s roles within a dealership have changed and need to be updated.
Where to find it
Depending on the context:
- A new user’s roles will be indicated via the registration form.
- For a user’s role to be updated:
- From the auction grid, click on ‘Options’ and then ‘My Account’.
- Access ‘Manage my dealership’ and scroll down to ‘Users’.
- From the list, select the person whose details need to be updated and click on the ‘pencil icon' to edit their roles and permissions.
Here's what you should know
User Roles
- Dealer Principal
- The senior executive responsible for overseeing all dealership operations, financial performance, and strategic direction.
- Sales Executive
- Engages with customers to sell vehicles, assists with financing options, and manages customer relationships.
- Sales manager
- Oversees the dealership’s sales team, manages targets, and ensures smooth sales operations.
- Valuator
- Assesses vehicle conditions and determines market value for trade-ins, buy-ins, and auction listings.
- Auction Manager
- Manages and oversees vehicle auctions within the dealership, ensuring smooth operations, accurate listings, and compliance with auction policies.
- Guest
- External visitors or potential buyers browsing vehicles on the platform with no selling or buying privileges.
- Fuel Driver
- Responsible for moving vehicles to refuelling stations and ensuring readiness for sale or delivery.
- Loan Approver
- Reviews and approves financing applications for vehicle purchases.
- Disable Manager Offers
- Restricts certain managerial staff from making offers on vehicles, ensuring that only authorised personnel can engage in pricing negotiations.
- Buy-in approver
- Reviews and authorises dealership buy-ins, ensuring accurate pricing and stock decisions.
User Permissions
- Dealer Principal
- Full administrative access, including auction management, approvals, and oversight of dealership activities on the platform.
- Sales Executive
- Access to vehicle listings, customer inquiries, and sales-related functionalities but restricted from auction management.
- Sales manager
- Broader access than sales executives, including pricing approvals, stock management, and some auction functionalities.
- Valuator
- Access to vehicle inspection, valuation tools, and market comparison data but restricted from sales finalisation.
- Auction Manager
- Full access to auction-related functions, including listing vehicles, managing bids, and finalising sales.
- Guest
- Read-only access to vehicle listings with no ability to bid, list, or make offers.
- Fuel Driver
- No sales or auction access—limited to tracking vehicle movements.
- Loan Approver
- Access to finance-related functions but restricted from listing or auction management.
- Disable Manager Offers
- A restriction setting rather than a standalone role—removes the ability to place offers.
- Buy-in approver
- Permission to approve buy-ins but limited from other auction or sales functions.
Important details to note:
Along with certain roles, there are certain aspects that need to be remembered.
- All users:
- Should only have one or two roles assigned to them, strictly depending on their responsibilities within the dealership.
- Can mark a deal as done.
- Valuators:
- Don’t have access to customer details; they only receive notifications when a valuation has been assigned to them.
- All inspection requests and notifications only go to valuators.
- Valuator is a core user for the dealership but isn’t involved of the running of everything; this is why they need to receive the notifications.
- The difference between a Dealer Principal and a Sales Manager lies in the reports they may have access to.
- Sales Managers can do everything that valuators can do.
- Sales executives can only view valuations to which they’ve been assigned and ones they’ve requested themselves. If they’ve requested a valuation, it is automatically assigned to them.
- If a user is a seller, they need to have ‘seller/buyer’ indicated under ‘User Permissions’, otherwise, it can be left as the default (buyer).
- Move to Auction may be found on user level, however the user requires 'Seller/Buyer Permissions' for this feature to be available. If they only have 'Buyer Permissions', they will only have 'Auction' permission available.
